What does the decor setup service include?
Setup is an add-on to a delivery order, quoted as its own line: on top of delivery, our team places and styles every rented piece to the layout we agree on beforehand, then comes back after the event for teardown, packing everything up and taking it away.
Before the day, we confirm the layout with you: where the backdrop stands, how the tables are dressed, and where the signs and lighting go. On the day, our team builds the room in the order it needs, large pieces like backdrops and plinths first, then table decor, candles and signage. You arrive to a finished room.
Why hire a decorator instead of setting up yourself?
Setup takes longer than most families expect. A three-panel backdrop, a dozen dressed tables and candles for every table can take several hours. With setup booked, the people closest to you are not spending the wedding morning on ladders, and the pieces are placed the way they look in our photos.
It also protects the timeline. Venues often allow a short window for vendors before guests arrive, and a team that has built these pieces before works through them faster. After the event, teardown follows the venue's schedule, so nobody in the wedding party is packing candle holders at midnight.
Where do you offer decor setup?
Decor setup is available wherever we deliver: Metro Vancouver, the Fraser Valley and the Okanagan, from our Fort Langley and Kelowna locations. Setup is quoted for your venue together with delivery.
Halls, hotels, wineries, backyards and tented sites all work. When you request a quote, tell us about access, such as stairs, loading and the time the venue opens to vendors, so the quote fits the room.
How does booking setup work?
Request a quote with your date, venue and the pieces you want. We reply with an itemized quote that includes delivery, setup and teardown. A 50% deposit reserves your date and pieces, and the balance is due 14 days before the event.
You can also add setup to an order you have already booked, subject to our team's availability on your date. Layout changes are easiest up to 14 days before the event, when the order is finalized.

Setup and teardown are quoted per event, since the cost depends on the venue, the distance and how much decor is being placed. You see the setup line in your itemized quote before you book.
The setup service covers the pieces you rent from OWC Events. If you have your own signs or florals to add, tell us when you request a quote and we will let you know what we can place alongside our pieces.
The setup team leaves before guests arrive and returns for teardown after the event. If you want someone on site running the day, our wedding planning and day-of coordination service covers that.
Yes, if your venue allows access the day before. Many halls and backyards do, and an early setup takes pressure off the event day.
