Terms & Conditions
Welcome to Okanagan Wedding Company. By booking our rental décor and related services, you agree to the following Terms and Conditions. These terms are designed to ensure clarity, protect both parties, and maintain the quality of our inventory for all clients.
Orders
An order is considered confirmed only once a signed contract and a non-refundable deposit of fifty percent (50%) of the total fee have been received. Standard rental periods are three (3) calendar days, which allows for pick up the day before the event and return the day after.
Payments
A non-refundable deposit of 50% is required at the time of booking, with the remaining balance due fourteen (14) days prior to the scheduled delivery, pickup, or event date, whichever occurs first. Corporate accounts may be eligible for Net 15 payment terms, provided the initial deposit is received in advance. All orders are subject to a ten percent (10%) cleaning fee. A valid credit card must remain on file for the duration of your rental, and any missing or damaged items will be charged automatically to the card on record. Payments are final and non-refundable once the event has taken place.
Changes and Cancellations
Clients may make changes to their orders up to fourteen (14) days before the event. Requests within fourteen days may incur a rush fee of twenty percent (20%). For pickup orders placed within three (3) days of the event, rush fees will apply to both rentals and services. Cancellations must be submitted in writing no later than fourteen (14) days before the event date. All deposits and prior payments are non-refundable.
Pickup and Return
Clients are responsible for collecting and returning their rentals during designated warehouse hours: Monday through Sunday, 10:00 AM to 4:00 PM. It is the client’s responsibility to bring appropriately sized vehicles and sufficient moving equipment (such as blankets and straps) to transport items safely. Items must be inspected at the time of pickup, and any damages or shortages must be reported within two (2) hours. Late returns will result in additional daily rental fees.
Delivery and Retrieval
If delivery or retrieval services are requested, the client must ensure that an authorized representative is present at the agreed time and location. Deliveries will be made to the most suitable entrance of the venue, unless otherwise arranged, and setup remains the client’s responsibility unless setup services have been booked in advance. Items must be repacked in their original packaging and placed in the same location for retrieval. Waiting fees of forty-five dollars ($45) per person, per fifteen minutes, will apply if staff are delayed due to venue or client circumstances.
Setup and Teardown
Setup and teardown are optional services that must be booked separately in advance. Delays preventing setup or teardown from beginning at the scheduled time will result in additional waiting fees, charged automatically to the card on file.
Damaged or Missing Items
Clients are responsible for all rental items while in their care. Items must be returned in their original condition. Full replacement charges will apply for any missing or irreparably damaged items. Additional cleaning fees will apply for wax, burn marks, mildew, biohazards, grease, or other excessive damage. Specific rules apply to certain items: linens must not be exposed to candle wax, cylinder vases must be returned wax-free, and all tableware must be rinsed prior to return. Outdoor rentals must be protected from rain, sprinklers, dew, or other water damage.
One-of-a-Kind Items
Okanagan Wedding Company offers unique pieces that may be irreplaceable. In the rare event that a one-of-a-kind item becomes unavailable, we will make every effort to provide a suitable substitute. If no substitute is acceptable, a refund will be issued for the rental value of that item only.
Personal Items and Waste
Personal items and sub-rentals may be set up at our discretion, provided they do not require assembly. We are not responsible for the loss or damage of personal items handled during setup. Due to limited storage, personal items must be collected within four (4) days after the event or they may be donated. Compostable flowers and greenery can be removed at the end of an event for an additional charge of $300 per bag.
Statutory Holidays
Additional fees may apply for events scheduled on statutory holidays or the surrounding weekends.
Indemnity
Clients agree to use all items only as intended. Okanagan Wedding Company is not responsible for any injury, loss, or damage sustained through the use of rental items. By signing the contract, clients agree to indemnify and hold harmless Okanagan Wedding Company and its employees, agents, and contractors from any claims arising out of the use of rented items.
Force Majeure
We are not liable for failure to fulfill orders due to circumstances beyond our control, including but not limited to weather, natural disasters, epidemics, or government restrictions. If your event is rescheduled, we will do our best to accommodate the new date. If not rescheduled, no refunds will be provided.
General Terms
These Terms and Conditions are governed by the laws of the Province of British Columbia. Amendments are valid only if made in writing and signed by both parties. This agreement constitutes the entire understanding between the client and Okanagan Wedding Company.
Termination of Service
Okanagan Wedding Company reserves the right to terminate services immediately, without notice, in cases of disrespectful behaviour towards our staff. This includes verbal abuse, harassment, discrimination, or any conduct that creates a hostile environment. All outstanding financial obligations will remain payable.
